Communication Privacy Policy
Built In Inc., doing business as Archetype Health and Chiropractic ("Archetype Health," "we," "us," or "our"), is committed to protecting the privacy and confidentiality of your personal information. This Communication Privacy Policy explains how we collect, use, disclose, and safeguard information when you communicate with us by phone, email, web form, online booking, or text message (SMS), and when you visit our website at https://archetype.health/.
Archetype Health is a healthcare provider covered by HIPAA. This policy covers communication-related information. It does not replace our Notice of Privacy Practices, which explains how we use and disclose your protected health information (PHI) under HIPAA. If the two overlap on PHI, the Notice of Privacy Practices controls. You can request a copy at any time or view it at https://archetype.health/pages/notice-of-privacy-practices.
1. Our Systems
We use two connected systems to run appointments and communications:
- ChiroHD, our practice-management and electronic health record system, which holds your patient record, schedule, and billing information.
- SKED, our scheduling and patient-communication platform, which connects to ChiroHD. SKED syncs appointment and contact information with ChiroHD so that online booking, reminders, and messages reflect your actual schedule.
Information you give us through one system may be shared with the other as needed to schedule and manage your care.
2. Information We Collect
Information you give us
- Contact information: name, email address, mobile phone number, and date of birth when you book, register, or contact us.
- Scheduling information: appointment dates, times, service types, provider preferences, and booking or cancellation history.
- New patient and intake information: forms or paperwork you complete for your visit, whether online or on paper.
- Communication content: emails, form submissions, text messages, two-way text conversations, voicemails, and other messages you send us.
- Communication preferences: including your text-message consent status, opt-in date and method, and opt-out requests.
Information collected automatically
- When you use our website or online booking, we may collect device and browser type, IP address, pages viewed, and referring pages, using cookies and similar technologies (see Section 10).
Please do not send sensitive health details through email, web forms, or text message. These channels may not be fully secure. Share clinical details in person or through our secure patient portal or intake forms.
3. How We Use Your Information
- Appointments: scheduling, confirmations, reminders, rescheduling, cancellations, and missed-appointment follow-up.
- Communicating with you: responding to inquiries and two-way text conversations with our staff.
- Service-related messages: administrative notices such as office closures, schedule changes, billing or account notices, intake reminders, and care-related follow-up.
- Review requests and outreach: asking for feedback or a Google review after a visit, and checking in with patients who have not been seen in a while. These are sent only to patients who have agreed to receive them (see the SMS Terms).
- Consent records: keeping records of your communication preferences so we respect them.
- Improving our services: analyzing communication and website trends to improve the patient experience, security, and operations.
- Legal and compliance: meeting legal, regulatory, and record-keeping obligations.
4. Information Sharing and Disclosure
We do not sell your personal information, and we do not distribute it to third parties for marketing purposes.
- Service providers: We share information with vendors who help us operate our systems and communications: ChiroHD, SKED, our text-messaging and email delivery providers, website hosting, and analytics providers. They may use your information only to perform services for us and are contractually required to keep it confidential and secure. Where a vendor handles PHI on our behalf, we maintain a Business Associate Agreement as required by HIPAA.
- Legal requirements: We may disclose information when required by law, regulation, subpoena, or other legal process, or to protect the rights, safety, or property of our patients, staff, or the public. How we use and disclose PHI, including the special protections that apply to certain records, is described in our Notice of Privacy Practices.
- Business transfers: If Archetype Health is involved in a merger, acquisition, or sale of assets, information may be transferred as part of that transaction, subject to this policy.
- With your permission: We may share information for other purposes with your written authorization.
Mobile information and SMS. We do not share your mobile number or text-message opt-in data and consent with third parties or affiliates for marketing or promotional purposes, and we never sell it. We share it only with service providers that deliver our messages on our behalf, such as our systems above and SMS carriers or aggregators, and only to provide the messaging service.
5. Security Measures
We use reasonable administrative, technical, and physical safeguards to protect your information from unauthorized access, disclosure, alteration, or destruction. No method of transmission or storage is completely secure, so we cannot guarantee absolute security. Standard text messages and email are not encrypted, so we keep messages brief and do not include detailed health information in them.
6. Data Retention
We keep communication records, including text-message consent records, only as long as needed for the purposes above and as required by law or professional record-keeping rules, then securely delete or de-identify them. Communications that become part of your patient record are kept for the period required by Alabama law, as described in our Notice of Privacy Practices.
7. Your Choices and Rights
- Text messages: Reply STOP to any text to opt out. You may also tell our staff or contact us. See the SMS Terms below.
- Email: Use the unsubscribe link in non-essential emails or contact us.
- Confidential communication: You may ask us to contact you in a particular way or at a different address or telephone number. We will accommodate reasonable requests. Contact our privacy contact to tell us your preferences.
- Access and correction: You may ask to review or correct the contact information we hold about you.
- Health information rights: Your rights regarding PHI, such as access, amendment, and an accounting of disclosures, are described in our Notice of Privacy Practices. To use any of them, or to make a privacy complaint, contact our privacy contact using the details in Section 12.
- Cookies: You can control cookies through your browser settings.
Opting out of non-essential messages will not affect your ability to receive care. We may still contact you about essential matters, such as changes to an appointment, by another method such as phone or email.
8. Children's Privacy
Our website is not directed to children under 13, and we do not knowingly collect their information online. Information about minor patients is provided and managed by a parent or legal guardian.
9. Changes to This Policy
We may update this policy from time to time. Changes take effect when posted on this page, and the "Last Updated" date above will change. Material changes to text-message practices will be communicated as required by law.
10. Cookies and Website Analytics
Our website may use cookies and similar technologies for site function, performance, and analytics, and our online booking is provided through SKED and may set its own cookies. We do not use these technologies to share health information with advertising platforms.
11. Consent
You consent to our collection and use of your information as described here when you voluntarily provide it to us. Consent to receive text messages is separate. We only text you if you have agreed to it under the SMS Terms below, and consent to text messages is not a condition of receiving care or of any purchase.
